Healthcare Consolidation, Integration & Migration

BUSINESS PROBLEM

The Affordable Care Act (ACA) has been a catalyst for a wave of hospital consolidations. Interoperability challenges differ with each type of merger but the need to smoothly, efficiently, quickly and securely provide access to corporate applications and communications is critical.

BACKGROUND

Our client is a healthcare organization with over 5,000 users across the hospital and a number of clinical and care locations. A merger with another hospital pushed those numbers to over 9,000 users. JDA was called on to assist with the development of the new organization’s electronic messaging architecture and to develop a transition plan which would ensure all users would have the ability to effectively locate, communicate and collaborate with employees from either organization.

BENEFITS

Following deployment, JDA developed step-by-step instructions for the internal staff to perform the ongoing mailbox migrations to move users from both organizations into the new environment. Our technical and documented approach greatly accelerated the go-live date. In addition, to reduce risk, JDA was engaged to provide additional experienced engineers to perform the migration activities. 9000 mailboxes containing13 terabytes of data were migrated.

SOLUTION

Using our in-house virtual lab, JDA deployed a proof-of-concept architecture consisting of Exchange 2010 for messaging, calendaring and related functionality along with Forefront Identity Manager to ensure seamless identity awareness, complete address book population and calendaring functionality across both organizations. JDA lab tested all aspects of the solution, used vendor-sizing tools to calculate specifically the server, storage and availability requirements and drafted our solution work plan from which we deployed the architecture.

BUSINESS PROBLEM

One of the more challenging aspects of IT operations is forecasting. When small businesses finally achieve consensus and capital to move forward, the process of accurately choosing how much of what to invest in can be a momentum-killer.

BENEFITS

The virtualized server environment JDA built led to significant savings over the cost of the physical environment that would have been required to handle peak activity.  Further, the move from a huge capital expenditure to a much smaller, fixed operational spend made life much easier for the financial team.

BACKGROUND

One of our clients faced that “how to move forward” challenge as they were planning for the release of an Internet application for scholarship programs. A number of new program and accessibility factors were expected to lead to a significant jump in total and concurrent use, but just how significant was unknown. Further complicating the forecast was the cyclical use of the application, with very active periods about 8 times a year. Stability and performance during peak times was  critical, requiring both 24/7 uptime and the ability to cost-effectively ensure resources were available on-demand during peak usage.

An undersized infrastructure would severely impact application adoption. An oversized environment wasn’t the answer, because the budget for  peak demand design didn’t exist.

JDA SERVICES

  • Talent Share – The computing architecture was designed and implemented by JDA’s senior engineers; subject matter experts in the areas of network infrastructure, virtualization and storage.
  • Managed Services – All JEMC services, from our Service Desk to backup and recovery are provided from our Tier III+ data center facility.  JDA constructed a private cloud environment which is managed via a mutually agreed upon service level for uptime and performance. JDA provides proactive and reactive system support tied to a Service Level Agreement (SLA).
  • Virtualization – All aspects of the virtual environment are managed by the JDA team.  Additional resources such as processors, storage and memory can be added by the JDA team, mapping the need to the technical requirement when needed and where needed.

SOLUTION

Virtualization technologies have allowed many small businesses to grow and adapt in ways never before possible. JDA’s Enterprise Management Center (JEMC) provided a virtual computing environment (VCE) with the ability to granularly modify the resources allocated to the platform to match workload requirements – up or down. Further, by using JDA’s managed services, the environment was housed in JDA’s purpose-built, highly redundant, highly secure data center that fully complies with the Tier III design specifications outlined by The Uptime Institute.

BYOD and Outsourcing

BUSINESS PROBLEM

Small business owners have been well aware of the option to outsource support for their IT operations. However most – thinking the cost to be prohibitive  – dismiss the idea without much thought. But when managed services is brought in to address a single problem, an organization can come to quickly understand the benefits.

BACKGROUND

A local law firm with 60 users unexpectedly found themselves without their in-house jack-of-all-trades support technician. This multi-skilled individual supported the servers, desktops, remote access and was also responsible for securing a network that housed sensitive client information and files. Because he was multi-skilled, replacing him would require multiple hires. In addition, their IT agenda included: 4 servers that were at end-of-life; a storage environment that had reached capacity; and a whole set of desktops and laptops that were quickly approaching obsolescence.

Complicating the situation was the fact that more and more employees wanted to access their work on their personal smartphones and tablets; something that exceeded the security capabilities of their current environment.

Suddenly, the whole firm was in full IT crisis mode, which was very distracting to an already busy environment.

SOLUTION

Initially, JDA was brought in for end-user support. As trust with JDA developed, more and more of our expertise was sought. To eliminate the need to purchase new servers and storage, JDA introduced a custom-designed private cloud-based virtual server environment. Using JDA’s Tier III data center, storage was virtually endless and applications were made more secure and more accessible. In becoming a managed services client, a virtual desktop infrastructure (VDI) was designed and configured.  This allowed existing laptops to be repurposed as thin clients to more powerful, up-to-date virtual desktops in their new cloud environment.

Then, with the help of JDA’s experienced network team (and to the delight of virtually every employee) the firm developed a Bring Your Own Device (BYOD) program. Now, employees could use their favorite tablet or smartphone to access their work from anywhere. Because this is essentially an extension of the VDI environment, the secure remote access problem for the mobile devices was solved.

BENEFITS

In summary, for less than the cost of replacing their IT support person or upgrading their servers and storage, the firm was able to upgrade their server and storage environments without incurring any capital expenditures. They gained redundancy, flexibility and additional security by moving their critical information into JDA’s fully redundant and super-secure data center. They are now a phone call away from having more servers and storage. Their antiquated VPN solution was retired and employees were on clearly pleased that they could access their email and files on iOS and Android.
